Purpose of the role:

We are seeking a detail-oriented and highly organized Hygiene Administrator to oversee hygiene administration and join our team. The ideal candidate will be responsible for managing all aspects of hygiene service administration to ensure high-quality services.

Education and experience required:

  • Bachelor's degree in business administration, office administration, or related field
  • Previous experience in administration, preferably in the hygiene industry
  • Strong negotiation and communication skills
  • Excellent attention to detail and organizational abilities
  • Proficiency in Microsoft Office ,Microsoft excel ,Microsoft power point ,E-mails and digitals
  • Knowledge of pest control, deep clean and hygiene administration best practices and regulatory requirements

Key areas of responsibilities:

  • Develop and uphold standards for hygiene, deep cleaning, and pest control service specifications.
  • Track and manage PODs and service reports for hygiene, pest control, and deep cleaning.
  • Update HSE files for clients to ensure compliance.
  • Schedule medical appointments and client inductions.
  • Complete onboarding documentation for both temporary and permanent staff in hygiene, pest control, and deep cleaning roles.
  • Prepare removal documentation for cancelled contracts.
  • Reconcile credit card statements for the regional manager.
  • Support client inquiries and respond to client queries.
  • Assist payroll with staff payment inquiries.
  • Help finance with client-related queries.
  • Respond to email inquiries promptly.
  • Provide support with roadshows and experience using praxedo (hygiene, pest control, and deep cleaning).
  • Book timesheets for KZN Technicians.
  • Review service and treatment reports, addressing any issues or discrepancies.
  • Coordinate with hygiene teams to compile service reports.
  • Maintain the portal, ensuring reports are uploaded to the system.
  • Prepare installation notices and request necessary vouchers for stores or warehouses.
  • Work collaboratively with teams to align pest control, deep cleaning, and hygiene services with company goals.
  • Keep up to date with industry trends and regulations for hygiene services, recommending improvements as needed.

 Preferred Skills:

  • Certification in office administration or related field
